Client overview

A leading restaurant support services provider, operating across the U.S., offers 24/7 technical support to food businesses. Their Service Desk agents assist kitchens by managing operational requests across various third-party delivery and restaurant management platforms like Toast, Olo, UberEats, Grubhub, and DoorDash.

The challenge
  • High manual effort and time-consuming logins to Toast and Olo to update item availability
  • Increased risk of delays and human errors when verifying changes across UberEats, DoorDash, and GrubHub
  • Coordination across 6+ applications, including credential management and secure access
  • Inability to respond instantly across different time zones and kitchen locations
Automation objectives
  • Automate the "86" (out-of-stock) and "un86" (back-in-stock) processes
  • Automate post-update verification on UberEats, DoorDash, and GrubHub
  • Auto-post execution status comments in Zendesk tickets
  • Enable both real-time execution and future scheduling of updates
  • Centralize data validation, reporting, and error notifications
Our solution

A modular and scalable RPA solution using Automation Anywhere A360 and LLM-integrated Zendesk automates item availability changes, verification, and reporting end-to-end - with secure credential handling through Zoho Vault API integration.

HOW IT WORKS
01
Input Collection
Data is received via AARI Form or API call from the integrated LLM chatbot on Zendesk, including item, location, action type, and optional scheduling.
02
Execution Logic
Bot logs into Toast and Olo using securely retrieved credentials and updates item availability across selected locations.
03
Verification & Reporting
After 20 minutes, a separate bot verifies item status on UberEats, DoorDash, and GrubHub, recording screenshots and posting status to Zendesk.
04
Scheduling & Reversion
If selected, the bot schedules a revert operation (e.g., un86) to mark the item back in stock, logging the reversion via Zendesk.
The bottom line

All updates are traceable with centralized logging and standardized Zendesk reporting, ensuring full process compliance.
