Client overview

The client is a technology-enabled support provider that assists restaurants and food service businesses in managing their kitchen operations efficiently. Their service desk team handles time-sensitive requests such as opening and closing restaurant operations, updating platform statuses, and ensuring consistent visibility across third-party delivery services - coordinating with Toast, Chowly, Uber Eats, DoorDash, and Grubhub through a centralized Zendesk ticketing system.

The challenge
  • Manual execution of open and close kitchen operations through an internal portal
  • Time-sensitive updates required across Toast, Chowly, Uber Eats, DoorDash, and Grubhub
  • High potential for human error, delays, and inconsistent customer-facing statuses
  • Multiple logins and platforms required to complete a single Zendesk ticket
  • Operational complexity during high-volume periods and holiday schedule changes
Automation objectives
  • Update kitchen status across backend platforms like Toast
  • Verify live status on customer-facing platforms including Uber Eats, DoorDash, and Grubhub
  • Update holiday hours in Toast and resync changes in Chowly
  • Log execution results as comments in Zendesk tickets automatically
  • Reduce manual workload and processing delays while improving accuracy
Our solution

We implemented a scalable and modular RPA solution using Automation Anywhere A360, structured into three main automation cases: Kitchen Operations, Status Verification, and Holiday Hours Management - each API-triggered with exception handling and end-to-end logging.

HOW IT WORKS
01
Kitchen Operations Automation
Bot logs into the internal portal to perform open/close actions for specified locations, validating execution status via UI or API.
02
Status Verification
A master bot coordinates post-operation verification on Uber Eats, DoorDash, and Grubhub, with sub-bots capturing screenshots and appending results to Zendesk.
03
Holiday Hours Update
Bot reads LLM-validated input parameters from AARI, updates holiday hours in Toast, triggers a menu resync in Chowly, and logs summaries to Zendesk.
04
Robust Exception Handling
Bots handle missing parameters, failed logins, inaccessible systems, and API failures, sharing summary and error reports after each run.
The bottom line

Reduced escalations and missed updates have enhanced overall customer experience, with a modular architecture that supports easy extension to new restaurant locations.
